Logging a visit under an alternate display label (Display as)
What is a Label Override?
A label override lets you log a visit under an alternate display label while keeping the underlying billing code and rate exactly the same. For example, a patient's planned APC visit can be logged so it displays and reports as ALR — but it still bills at the APC rate.
The override only changes the label. The billing code, the rate, and the way the visit moves through the billing lifecycle (logged → billed → paid) are all unaffected. Because the label is stored on the visit, reports can later tell ALR apart from APC — for example, a revenue-by-code report will show ALR as its own line rather than folding it into APC.
Label overrides only appear when an Admin has configured alternate labels for the binder (payor). If you don't see a "Display as" dropdown, no overrides have been set up for that payor. See your Admin or the Label Overrides admin guide.
Relabeling a Planned Visit
Use this when a scheduled visit should actually be recorded under a different label.
- Click the day on the calendar to open the day detail panel
- Find the planned visit's row (e.g. APC with its scheduled units)
- Select a caregiver and adjust units if needed
- In the "Display as" dropdown, choose the override label (e.g. ALR)
- Click "Save Units"
The planned APC visit is replaced by a logged ALR visit — the grey "to be logged" placeholder for APC disappears and the calendar cell shows the ALR visit.
This replacement happens even when you change the unit count. Logging the planned 24-unit APC visit as "80 | ALR" leaves a single 80 | ALR visit on the day — not a leftover 24 | APC placeholder.
Adding a Separate Override Visit
Use this when you need to log an extra visit (on a day with no planned visit, or in addition to one) under an override label.
- Click the day on the calendar to open the day detail panel
- Click the "+ Add Visit" button and choose the billing code (e.g. APC)
- Enter the units and select a caregiver
- In the "Display as" dropdown, choose the override label (e.g. ALR)
- Click "Save Units"
Overrides and Scheduled Units
Because an override is reported as a separate label, it does not consume its source code's scheduled units. This keeps the over-schedule warning accurate:
- Logging a planned APC visit as ALR uses up that planned slot, so no duplicate APC row reappears.
- If you still need a regular APC visit that day, use "+ Add Visit" to add one. It counts fresh against the APC schedule — so adding 24 APC units against a 24-unit schedule will not trigger the over-schedule warning, even though an ALR visit is already on the day.
The override carries the same rate as its billing code. Think of it as "bill it as APC, but report it as ALR."
Editing or Removing an Override
While a visit is still logged (not yet billed), hover the line item and click the pencil icon to change the "Display as" label, or set it back to Default to remove the override. See RNA Visits & Special Entries for more on editing line items.
Once a visit is marked as billed, Loggers can no longer edit it. An Admin can still correct the display label on a billed or paid visit — see the Label Overrides admin guide.
